At CSS, faculty have the primary responsibility for developing the collections in their subject area. This means they must actively seek out materials to purchase that will support the needs and wants of the students. To assist you with the process, please read the following information:

Collection Development - describes the policies, procedures, and process for purchasing materials. Includes information about how and where to find possible materials to purchase.

Ordering Materials:

All CSS faculty members wishing to purchase materials must follow the same procedures. First, choose what materials you want. Then, fill out an order card for each item you wish to order. Order cards are available at each of the ADEP sites and also at the Library. It is helpful if you include copies of the review, ordering information, and/or publishing information when applicable (ex. ordering information from a website, page from catalog, or library record, etc.). Next, send the cards to the Library. From here, the cards will be sent to the appropriate Department Chair for approval. All orders must be approved by Department Chair before an item can be ordered. Once approved, the materials will be sent back to the Library to be ordered. You will be notified when items come in and have been cataloged.

Include the following information when filling out cards:

  • Author(s) - if no author include editor
  • Title - full title
  • Edition - if applicable
  • ISBN - if applicable (put on Edition line)
  • Preferred Material Format - only if not book (ex. DVD, VHS, Software, etc) - (put on Edition line)
  • Publisher
  • Year
  • Price
  • Number of Copies
  • Department - put what campus you are at (ex. ADEP-Brainerd)
  • Where you saw a review
  • Your name
  • What class it is for - this information can be put on the back of the card. (ex. MGT 3330)

****Note: If you need to rush the order, please put RUSH and the estimated date needed by at the top of the card (above the author).

As you can see, this is a lengthy process. Currently, there is a back-log of materials waiting to be cataloged. The Library will do everything it can to get the materials to you within an acceptable amount of time. Please plan ahead of time to ensure the materials arrive in time! Please contact the Distance Education Librarian with questions or for more information.
